Organization and Greek Event Scheduling Form
Read This! Here are the necessary steps in completing
this form.
1.) You must check the Student Activities Campus
Calendar to see what other events are scheduled for the date you would like to
plan an event. If your event will conflict with another similar event, you may
be asked to plan your event for another date.

2.) You must check the Facilities Calendar for location
availability before submitting this form.

3.) Complete this form and hit submit. The Campus Services Assistant will notify you by e-mail
when your event has been approved. The Student Life Office will notify
you by e-mail if your event has been denied so you can make the appropriate
modifications for your event to be approved.
EVENT REQUEST TIME
REQUIREMENTS
·
Events that require any type of equipment (including table and
chairs) are due five (5) full business days
prior to the event.
·
Location and Banner requests are due two
(2) full business days prior to the event.
·
Wet event requests are due six (6)
weeks prior to the event so that an alcohol permit may be obtained from
the State of Indiana.
·
Raffles & other fundraising events requiring a state
permit or license require eight (8) weeks advance planning. Contact Erin
Amerson x6844 for additional information.
·
Greek Events requiring special setup requires 10 full
business days advanced planning. Contact Deanne Walters x7081 for additional
information.
ADVERTISING:
No advertising of your event is permitted until you
receive written or email confirmation of the date/time/location of your event.
This includes hanging flyers.

Requirements
·
All flyers/posters/banners/table tents/etc must include the
sponsoring group/person of the event and an expiration date for the flyer.
·
All advertising must be posted in official posting areas or on
non-glass, non-painted surfaces.
·
To use table-tents in the Campus Center Dining Room or Underground
you must obtain permission from Carol Purvis.
By completing this form, you agree to be personally
responsible for the enforcement of all Hanover College Principles and Policies
as outlined in the Student Handbook, the Campus Alcohol Policy, Greek Social
and Risk Management Policies as well as all local, state and federal laws. If
the individuals in charge (listed below) fail to fulfill their
responsibilities, the individuals and/or organization/chapter will be subject
to disciplinary action. Any violation(s) of local, state, or federal laws may
result in civil action and/or criminal charges being brought against the
individuals listed below and/or the officers of the co/sponsoring organization.
